If you handle cargo claims and have not instructed a surveyor in Kazakhstan before, this is what the process usually looks like with ADS Inspection & Consulting, from the first message to the final report.
1. The instruction
An instruction can come by email, phone or WhatsApp. To arrange attendance quickly we need the bill of lading or other transport document, the claim number if there is one, a description of the cargo and the damage, and the address where the goods can be inspected. Photos taken at delivery help us prepare.
2. Attendance
In most cases our surveyor reaches the site within hours. Our own surveyors cover every region of Kazakhstan, and in neighbouring countries we work through correspondents coordinated from Almaty. Urgent attendance outside working hours is possible at an extra charge agreed in advance.
3. On site
The surveyor inspects the cargo, packing, seals and markings, the vehicle or container, and the conditions of storage. Everything is photographed, from the overall view to close-ups of the damage. The surveyor also talks to the people involved: the receiver, the driver, the warehouse staff.
4. Preliminary findings
Before the report is written, we pass our first findings to the client from the site. This helps the insurer decide early on what to do with the cargo and how to handle the claim.
5. Investigation
Back at the office, the findings are compared with the transport and commercial documents, the route and the circumstances of carriage. Our lawyers help where the documents and contract terms need a closer look.
6. The survey report
The full report usually follows within two to three weeks. It describes the cargo and the carriage, the circumstances in which the damage was found, the results of the inspection with photographs, and our conclusions on the nature, likely cause and extent of the loss. Facts the surveyor saw directly are kept separate from information given by the parties and from conclusions, so the reader can see what each statement is based on.
Documents worth collecting early
- the insurance policy or certificate;
- the commercial invoice and packing list;
- transport documents with any remarks made at delivery;
- the receiving report;
- original photos and videos from delivery;
- temperature logger data for refrigerated cargo;
- correspondence with the carrier and the shipper.
